We are hiring an Onboarding Specialist for our growing team!  The Onboarding Specialist is a vital member of the Human Resources Department. The Onboarding Specialist is under the supervision of the Talent Acquisition Manager and is responsible for facilitating and managing the department’s efforts to advertise and fill open positions and other duties associated with the Human Resources Department as requested.


Key Responsibilities:

  •  Manages Hiring Process workflow.  Specifically, posts open positions to Jazz HR, monitors hiring progress, and closes posts when hiring is complete.
  • Contacts prospective candidates and discusses job offers, explains company benefits and describes orientation programs and sets start date.
  • Schedules and plans new hire orientation assignments according to the company's standard practices.
  • Keeps detailed records of the open positions posted and tracks the selection of qualified candidates.  
  • Keeps the Talent Acquisition Manager abreast of the progress of the current open positions and notifies them of any issues that may arise that would prevent or impede the hiring process in a timely manner.
  • Orders/request background checks according to standard company practices on all candidates selected by the hiring manager for a particular job. Reviews completed background checks against approved standards and clears new hires for hiring.  Refers background checks that do not meet approved company standards to the Talent Acquisition Manager for final decisioning.  
  • Administers company’s WOTA relationship with the State to receive tax credit for qualified new hires and ensures all necessary forms are completed and submitted in a timely manner.
  • Assists in the creation, production and maintenance of an engaging and informative online orientation program for all new hires.
  • Designs and produces effective HR related procedural documents as directed by the Director of HR
  • Maintains supply of New Hire Documents and keeps them on hand and ready when needed.
  • Files documents and reports in the appropriate employee personnel file in an accurate and consistent manner while maintaining appropriate confidentiality  and physical security standards.
  • Maintain a respectful relationship with employees, interns, and persons served/clients.
  • Maintain confidentiality at all times displaying a professional disposition towards fellow staff.
  • Maintain a positive working relationship with Addiction Recovery Care Center/Odyssey, Inc.’s staff and persons served/clients alike.
  • Bring policy/personnel issues to supervision as they arise.
  • Protect the privacy of all staff and persons served/client information in accordance with Addiction Recovery Care Center/Odyssey, Inc.’s privacy policies, procedures and practices, as required by federal and state law, and in accordance with general principle of professionalism as a healthcare provider.

Key Experience and Education Needed:

  • High school diploma or equivalent required and a Post-secondary degree in Human Resource Management, Business Administration or a related discipline is preferred.
  • Previous Talent Acquisition and Recruiting experience preferred. 
  • Certification as a Human Resource Professional by an industry specific accrediting body preferred. Examples: SHRM-CP,  PHR, etc......don't have this yet but want to work on it?  That's ok, apply anyway!

Other Qualifications to be Considered:

  • Well-developed verbal and written communication skills to be able to communicate with all levels of the company
  • Strong organization and planning skills are a must!
  • Strong problem solving and analytical abilities to make your day a breeze!
  • Must be a self-starter and be able to work independently within a team that may be spread throughout different areas.
