We are hiring an HR Assistant for our growing HR team!  The HR Administrative Assistant/Receptionist position plays an important administrative role for the Human Resource Department which includes document management, filing and scheduling. Additionally, the Administrative Assistant/Receptionist position is responsible for managing the front office at the ARC HR offices.  This includes, but is not limited to, greeting and assisting visitors, handling incoming phone calls, sorting incoming mail/packages and answering general questions regarding the HR function.

Key Responsibilities:

  •  Provides general administrative assistance to the employees in the Human Resource Department including document management, filing and scheduling. 
  • Maintains a stock of documents required for new hire onboarding, benefit enrollment, etc. ensuring that a sufficient number is always on hand.  
  • Prepares packets of documents for new hire orientation classes, training programs, and other needs of the department.
  • Assists with data entry and document scanning and storage as assigned for new hires, benefit enrollment and other departmental needs.   
  • Manages the front office at the ARC Corporate offices, including greeting and assisting visitors, handling incoming phone calls, sorting incoming mail/packages, answering general questions regarding the corporate offices, etc. 
  • Working knowledge of the regular policies and practices utilized in both residential and outpatient facilities as well as other functions and programs operated by ARC.
  • Working knowledge of common computer programs such as, email, online calendars, Google drive, Microsoft Office, etc.
  • Must be a self-starter that is task orientated, organized, and punctual.
  • Maintain excellent phone etiquette 
  • Effective and efficiently manage schedules
  • Protect the privacy of all staff and persons served/client information in accordance with Addiction Recover Care/ Odyssey, Inc.’s privacy policies, procedures and practices, as required by federal and state law, and in accordance with general principle of professionalism as a healthcare provider

Key Experience and Education Needed:

  • High School Diploma or GED
  • A minimum of 1 year administrative and management setting familiarity
  • Substance abuse experience preferred
  • Appropriate State and Federal Clearances

Other Qualifications to be Considered:

  • Knowledge of Federal, State and Municipal laws and/or regulations that regulate the treatment of alcoholism and drug addiction
  • Knowledge of the Human Resources Department
  • Attention to detail and organization 
  • Computer literate 
  • Ability to coordinate and manage multiple task
  • Ability to work independently with minimal supervision
  • Ability to prioritize work and work-related responsibilities 
  • Ability to maintain confidentiality and handle crisis situations in a calm and supportive manner
  • Ability to exhibit professional and courteous behavior, consistent with the ARC mission statement, when interacting with persons of varying backgrounds and education levels to create a safe and healthy relationship with clients served 
  • Ability to sit and/or stand for long periods of time
  • Ability to read detailed health records 
  • Ability to lift and carry up to 10 lbs.
  • Ability to operate computer and other equipment in the office
  • Must have sufficient mobility to move around the office and the community
